We are seeking a motivated and ambitious Trainee Administrator to join our growing Capital Markets team. This is an exciting opportunity to work alongside experienced professionals supporting a diverse portfolio of international structures, including securitisations, debt issuance programmes, structured finance transactions, private equity holding structures and special purpose vehicles (SPVs).

As a Trainee Administrator, you will gain exposure to complex cross-border transactions, corporate governance practices and regulatory frameworks while developing the technical skills and professional expertise required for a successful long-term career within Capital Markets and Corporate Services.

The Role & Key Responsibilities

Client Administration

Support the day-to-day administration of a diverse portfolio of Capital Markets and Corporate Services entities.

Assist with the administration of securitisation vehicles, note issuance programmes, structured finance transactions, holding companies and other SPVs.

Maintain statutory records and ensure client files remain accurate, complete and up to date.

Process routine administrative matters in accordance with internal procedures, service standards and regulatory requirements.

Ensure all activities are conducted in compliance with company policies, internal controls and applicable regulatory requirements.

Corporate Governance & Board Support

Prepare board packs, agendas and supporting documentation for board and committee meetings.

Draft board minutes, written resolutions and other corporate governance documentation.

Coordinate board meetings and attend meetings where required to assist with minute-taking and follow-up actions.

Maintain statutory registers and corporate records.

Support the completion of annual and event-driven corporate filings.

Client Onboarding & Entity Lifecycle Management

Assist with client onboarding, entity incorporations and account opening processes.

Support the collection, review and maintenance of client due diligence documentation.

Assist with changes to directors, shareholders, officers and authorised signatories.

Support entity closure, liquidation and restructuring processes where applicable.

Maintain accurate records across internal systems, banking platforms and document management systems.

Compliance & Risk Management

Assist with customer due diligence (CDD), Know Your Customer (KYC) and periodic review processes.

Support client review and remediation activities in accordance with regulatory requirements.

Escalate unusual transactions, missing documentation, risks or compliance concerns in a timely manner.

Assist in ensuring regulatory deadlines and internal compliance obligations are met.

Develop an understanding of Jersey AML/CFT/CPF requirements, sanctions obligations and financial crime controls.

Financial & Operational Support

Assist with the review of financial information and supporting documentation.

Prepare routine payment instructions and banking documentation.

Investigate and escalate discrepancies identified during client and entity reviews.

Support transaction closings, refinancing events, restructurings and other corporate actions under the supervision of senior team members.

Accurately record time and contribute towards team and business objectives.

Support operational initiatives, process improvements and system enhancements

Client Service & Stakeholder Management

Support team for day-to-day client and stakeholder queries.

Draft professional correspondence and client communications to a consistently high standard.

Deliver exceptional client service in line with Apex values and service standards.

Learning & Development

Participate actively in internal training programmes and development initiatives.

Develop knowledge of Capital Markets transactions, structured finance products, debt issuance programmes and Jersey corporate administration.

Work towards obtaining a recognised professional qualification.

Contribute positively to a collaborative, inclusive and high-performing team environment.

Support senior team members with client deliverables and special projects as required.
